The calendar view
Your calendar is the main screen you will use day to day. It shows appointments in a day, week, or list view. Switch between views using the toggle in the top-right corner. The day view shows each staff member as a column, so you can see the full salon schedule at a glance.
Creating an appointment
Click any open time slot on the calendar to start a new appointment. Select the client (or create a new one), choose the service, and pick the staff member. The duration auto-fills based on the service default, but you can adjust it. Click “Save” to add it to the calendar.
For walk-in clients, click the “Walk-in” button at the top of the calendar. This creates an appointment starting at the current time and marks it as a walk-in in your records.
Rescheduling
To move an appointment, click on it and select “Reschedule.” Choose a new date and time. The client receives an automatic notification about the change, including the new date and time. You can also drag and drop appointments directly on the calendar to move them.
Cancellations and no-shows
Click on an appointment and choose “Cancel” to cancel it. You will be asked whether to notify the client. Canceled appointments move to the canceled list but are not deleted, so you retain the history.
To mark a client as a no-show, click the appointment after the scheduled time and select “No-show.” This updates the client’s profile with a no-show count, which helps you identify patterns and decide whether to require deposits for future bookings.
Processing time and double-booking
For services with processing time (like color), set the processing duration when creating or editing the service. The calendar shows processing time as a lighter block, indicating that the stylist is available to start another client during that window. The system will automatically allow bookings during processing gaps without flagging them as conflicts.
Appointment notes
Each appointment has a notes field visible to staff. Use it for special instructions, formula details, or client requests. Notes are saved to the client profile automatically, so they are available on future visits.
